Why customer support outgrows a personal phone number

The visibility, accountability and continuity problems that appear once more than one person is replying to customers on WhatsApp.

A single phone number works fine when one person is answering customers. The moment a second person needs access (to cover a shift, handle overflow, or take over while someone is away), problems start. Conversation history lives on one device, there's no record of who replied to what, and nothing prevents two people from answering the same customer differently.

A shared inbox solves this by giving every team member visibility into the same conversation, with clear ownership of who is currently responsible for a reply. Internal notes let a colleague flag context without the customer seeing it, and conversation history stays intact regardless of who's logged in.

The signal that it's time to move off a personal phone is usually simple: if more than one person needs to know what a customer has been told, a personal phone number can no longer reliably provide that.
